TANDOORI HUT
PRIVACY POLICY & BOOKING TERMS
Tandoori Hut (“we”, “us”, “our”) respects your privacy and is committed to protecting your personal information.
This Privacy Policy explains how we collect, use, store and protect personal information when you visit our restaurant, use our website, place an order, make an enquiry, make a table reservation or otherwise interact with us.
It also sets out important terms relating to table reservations and deposits.
1. INFORMATION WE MAY COLLECT
Depending on how you interact with us, we may collect information including:
- Your name;
- Telephone number;
- Email address;
- Billing and delivery address where applicable;
- Table reservation details, including the date, time and number of guests;
- Order and transaction information;
- Payment and deposit information;
- Dietary requirements, allergies or accessibility requirements that you choose to provide;
- Correspondence and communications with us;
- Feedback, reviews, complaints and enquiries;
- Information collected through our website, including IP address, browser/device information and cookies where applicable; and
- CCTV images when visiting our premises, where CCTV is in operation.
We will only collect information that is reasonably necessary for the relevant purpose.
2. HOW WE USE YOUR INFORMATION
We may use your personal information to:
- Process and manage table reservations;
- Contact you regarding your reservation;
- Take and administer reservation deposits;
- Process food orders, collections and deliveries;
- Process payments and refunds;
- Respond to enquiries, complaints and requests;
- Record dietary, allergy or accessibility information where you provide it;
- Provide and improve our customer service;
- Maintain the safety and security of our customers, staff and premises;
- Prevent or investigate fraud and other unlawful activity;
- Maintain appropriate business and financial records;
- Comply with our legal and regulatory obligations; and
- Send marketing communications where we have an appropriate lawful basis to do so.
We will not sell your personal information to third parties.
3. OUR LAWFUL BASIS FOR USING YOUR INFORMATION
Under applicable UK data protection law, we must have a lawful basis for processing your personal information.
Depending on the circumstances, we may rely on:
Contract – where processing your information is necessary to provide a service you have requested, such as managing a reservation or processing an order.
Legal obligation – where we are required to process or retain information to comply with the law.
Legitimate interests – where processing is reasonably necessary for the operation, security or improvement of our business and those interests are not overridden by your rights.
Consent – where you have given us consent, including where consent is required for certain marketing or cookies. Where processing is based on consent, you may withdraw that consent at any time.
4. TABLE RESERVATIONS
When you make a table reservation, we may collect your name, telephone number, email address where applicable, number of guests, booking date and time, and any information you voluntarily provide in connection with your reservation.
We use this information to administer your booking, communicate with you and provide the requested restaurant service.
Reservations for More Than 8 Guests
For table reservations of more than 8 guests, please contact Tandoori Hut directly on:
01226 390037
A deposit will be required to secure large-party reservations. The amount of the deposit will be confirmed when your reservation is made.
The deposit may be taken securely over the telephone using our payment facility.
We do not intentionally retain full payment card details after a telephone payment has been processed. Payment information may be processed by our payment service provider in accordance with its applicable security and privacy requirements.
A reservation requiring a deposit will not be treated as fully confirmed until the required deposit has been successfully paid and the booking has been accepted by Tandoori Hut.
5. CHANGES TO PARTY SIZE AND DEPOSITS
We understand that the number of guests attending a reservation can sometimes change.
If fewer guests attend than the number originally booked, we will adjust the deposit attributable to the final number of guests attending, where appropriate.
For example, where the deposit has been calculated on a per-person basis and the final party size is lower than the original booking, the deposit requirement will be recalculated using the final number of guests. Any excess deposit paid will be refunded or otherwise credited as appropriate.
Customers should notify us of changes to their party size as soon as reasonably possible before the reservation by calling 01226 390037.
This provision is intended to ensure customers are not charged a deposit for guests who do not ultimately attend, subject to any separately communicated cancellation or no-show terms applicable to the reservation.
We reserve the right to make reasonable changes to seating arrangements where the final number of guests differs from the number originally booked.
6. CANCELLATIONS AND NO-SHOWS
Where a deposit is required, any specific cancellation or no-show conditions will be explained when the booking is made.
We ask customers to contact us as soon as possible if they need to cancel or materially change a reservation.
Where a booking is subject to a specific cancellation deadline or non-refundable deposit condition, this will be communicated to the customer before the deposit is taken.
Nothing in these terms is intended to exclude or restrict any rights that cannot lawfully be excluded under applicable UK consumer law.
7. PAYMENT INFORMATION
Payments may be processed by third-party payment service providers.
We may receive limited information confirming that a transaction has taken place, such as:
- Transaction reference;
- Amount paid;
- Date and time;
- Payment status; and
- Limited payment method information.
We do not intentionally store complete debit or credit card numbers ourselves where payment is processed through a third-party payment provider.
8. FOOD ALLERGIES AND DIETARY REQUIREMENTS
Customers should inform us of any allergies or dietary requirements when making a reservation or placing an order and should also inform a member of staff when visiting the restaurant.
Where you provide health-related information concerning allergies or medical dietary requirements, we will use that information only as reasonably necessary to assist us in providing the requested service and protecting your wellbeing.
Customers with serious allergies should speak directly to a member of staff before ordering.
9. CCTV
CCTV may operate within and around our premises for legitimate purposes including:
- Customer and staff safety;
- Crime prevention and detection;
- Protection of our premises and property; and
- Investigation of incidents, accidents or disputes.
CCTV recordings will only be retained for as long as reasonably necessary unless footage is required for an investigation, insurance claim, legal proceedings or another legitimate reason.
Footage may be provided to the police, insurers, legal advisers or other authorised parties where there is a lawful and legitimate reason to do so.
10. MARKETING
Where permitted by law, we may contact customers regarding Tandoori Hut offers, promotions, events or other relevant information.
Where consent is required, we will only send such communications where you have provided that consent.
You may unsubscribe from marketing communications at any time using the unsubscribe method provided or by contacting us.
Opting out of marketing will not prevent us from sending necessary service communications concerning an existing order or reservation.
11. COOKIES AND WEBSITE INFORMATION
Our website may use cookies and similar technologies to enable essential website functions, remember preferences, understand website usage or support advertising and analytics.
Where consent is legally required for non-essential cookies, these cookies should not be activated until the appropriate consent has been obtained.

We do not sell customer personal information.
13. HOW LONG WE KEEP INFORMATION
We will retain personal information only for as long as reasonably necessary for the purpose for which it was collected, including satisfying legal, accounting, tax, operational, dispute-resolution and regulatory requirements.
Different categories of information may therefore be retained for different periods.
When personal information is no longer required, we will take reasonable steps to securely delete, destroy or anonymise it.
14. SECURITY
We take reasonable organisational and technical measures designed to protect personal information against unauthorised access, alteration, disclosure, loss or misuse.
Access to personal information should be limited to staff members and service providers who reasonably require access to perform their duties.
However, no electronic storage or transmission system can be guaranteed to be completely secure.

16. COMPLAINTS ABOUT PERSONAL INFORMATION
If you have concerns about how we use your personal information, please contact us first so that we have an opportunity to investigate and resolve the matter.
You also have the right to raise a complaint with the Information Commissioner’s Office (ICO), the UK’s independent data protection regulator.
17. THIRD-PARTY SERVICES AND WEBSITES
Our website or services may contain links to or integrate with third-party websites, delivery services, reservation platforms, payment providers or social-media platforms.
Those organisations may process information under their own privacy policies. We are not responsible for the privacy practices of independent third-party organisations.
Customers should review the relevant third party’s privacy information where appropriate.
18. CHILDREN
Our services are primarily intended for adults making restaurant reservations and purchases.
We do not knowingly seek to collect unnecessary personal information directly from children through our website.
Where a reservation includes children, the reservation should normally be made by a responsible adult.
19. CHANGES TO THIS POLICY
We may update this Privacy Policy and Booking Terms from time to time to reflect changes to our business practices, services or legal obligations.
The latest version will be made available through our website and will show the date on which it was last updated.
